Hi everyone,
I have a project that requires a large volume of images to be imported and linked to the associated catalogue records. For each catalogue record there are anywhere from 3 to 15 images. In addition, many of the catalogue records already have 1 or more multimedia records attached.
Is there a manageable way to do this using the Import Tool? If so can someone outline the process?

I've done this before but it was not the easiest process, especially when there is existing multimedia attached to catalog records. I'll try and dig up my documentation over the weekend. Feel free to contact me directly.

Will, I do this regularly via a multi step process:
1) Create the scheme for the MM module to accommodate all the field values I want, and fill them in, one for each image. Import that, and you will have all of your images in MM, the easy part. I assume that you can give the MM record a key (like barcode or object number) in the MulTitle field (for example) that will be useful later to attach them to the catalog record.
2) Export the MM records you just created, you will need only the irn and the 'catalog key' field, which ever it is.
3) Take that into an Access DB used to roll up the packets of IRNs from the MM, and roll them out into individual fields for each catalog record I want to attach them to.
If you are comfortable with Access, I can send you my DB with some instructions. As Scott mentions above, this won't work of there are already an unknown number of attachments in your catalog records. |

I will eventually need to do a similar import here, so I came up with a very kludgy way to "add" multimedia attachments to catalog records with existing multimedia attachments. I've only tested it so far on small sample sets but it seems to work. It does require that after you import your new multimedia objects, you have some way to associate each one with the appropriate existing catalog record (via something like a barcode as Joanna suggested.)
Basically, I export the existing associations of catalog IRNs and their attached multimedia IRNs, and create a spreadsheet with two columns (catalog irn, multimedia irn) that has one row for each association. I add to this spreadsheet all the *new* associations of catalog record IRNs and new multimedia record IRNs, so that I have one spreadsheet with all the attachments that I ultimately want in existence. Then I restructure the spreadsheet and paste its contents into an xml file, which I use to run the import (told you it was kludgy.) If you still need to do this and are interested, Will, contact me and I'll describe it further.

The NGA paid KE to build a script that runs through Admin tasks. No issues with Catalogue records already having attached multimedia, and the script can attach multiple images to one Catalogue record.
Basically all the images are named with the Catalogue irn. So 22456.jpg, 22456_a.jpg, 12345_recto.jpg, 12345_verso.jpg, etc. I then FTP these to the server and run the script via an Admin task. The script allows me to specify a Creator (our bulk loads are usually from our Imaging department), and whether or not to publish the image to the web.
We occasionally run into problems where filenames are given special characters, spaces, etc. And there is often some manual re-ordering of the images in Catalogue to put the primary one top left so as to be the focus thumbnail
But on the whole this process works nicely.
