Attached please find a power point presentation with suggested revisions to the Bibliography module, a word document explaining the revisions and a word document survey. The discussion of these revisions began at the North American User’s group meeting in NY in October. The presentation is not a complete revision, it’s a start based on the tabs we use most. It also is not a simplification of the module, but, I think, makes the module more flexible for users. We are currently using the Bibliography module to store citations, to maintain a database of all Malacology Journals (See: http://emuweb.fieldmuseum.org/iz/journals.php ) and to track voucher specimens as they’re used in developing manuscripts. We will be doing more on-line use of the Bibliography data in the near future.

I’m interested in getting responses to the survey and to hear everyone’s suggestions, problems, ideas etc.

Hi,

Thanks to everyone who has already responded, your suggestions were very helpful. I need to start working on the second phase, so I would like any additional responses, suggestions or comments in by April 1, 2008.

Thanks again,
Janeen

Hi Janeen,

Thanks for doing such great work on this redevelopment.

I have a question on the way the author citation aspect works.

I'm not clear on exactly how the Authors tab and Author String/Citation String field sets will operate.
(Just as an aside: In the power point display the Author tab does not look like it sits in Bibliography (?). But I am assuming this is the case.)

Essentially I do get that the new Authors (Author/Contributors) tab in Bibliography will receive the Party links that will display to the Author String/Citation String fields in much the same way that Taxonomy Author String does. Within Taxonomy, linked Authors & year are sent to an Author String which combines with other data to form Scientific Name Author display field. Upon linking to the Catalogue this combined value then displays into Qualified Name field. None of these display fields being editable at any point by the user.

For the Bibliography redesign the operation of the Authors and Author String/Author Citation fields appear to mirror this behaviour with the added flexibility of the string being editable by the user upon selecting the Automatic No trigger.

There is a set of these fields in Catalogue: References; Bibliography: Authors, Article and Chapter tabs. The field in each has the ability to be editable upon setting the “Automatic?” “No” trigger.

Is there any point at which the choice the user makes triggers a mechanism creating an ‘either’ ‘or’ protection for the data selection made? Either to be flexible or not?

I would see it as necessary at some point to establish with clarity an Author String lock preventing users making an edit to one of these Author Strings which would then flow on to potentially mess with the Author String context for other contexts?

Hopefully I am asking this question clearly and please let me know if I’ve missed why this is not an issue or has been addressed.

Regards,

Hi Lee-Anne,

Thanks for pointing out the missing text on the Authors Tab, I'll fix that on the next version. The automatic trigger in the catalog module, reference tab, is only for use by users unwilling or unable to use the Bibliography module. Once "No" is chosen in the catalog module, all options to link to Bibliography module (through the reference tab) should be turned off. Essentially, chosing No makes the reference tab in the catalog module 1 large text field.

Janeen, thanks for moving this along. I'm getting in under the wire with some input.

1. We would like to see an alternative to Book Series to accommodate instances where one is cataloguing local holdings and the holdings do not include the entire series of which a book is a part. A field in the Book tab corresponding to the MARC field for series information for incompletely held series would be useful.

2. We would like to see a field on at least the Book tab that corresponds to the MARC 300 field for Collation (a string of various descriptive attributes about the publication's size, binding, etc. that is standard in bibliographic records).

3. Subject Headings: Ideally there would be a way to record Library of Congress Subject Headings, each part of which could be designated as a particular type of heading, as is done in MARC records. The subtypes would be geographical, chronological, topical, and form.

4. We love the proposed Notes tab and the idea of allowing automatic or manual author strings.

5. I am not sure I understand what is being proposed for Citations. It sounds like a simplification of the current practice. Would it accommodate references to reproductions of items in the catalogue, which would typically include the page and figure or plate number and whether the reproduction is monochrome, duotone, color, etc., and might also include a way to enter text from the caption of the reproduction.

6. This might be asking for the moon, but for the sake of future interoperability and interchange of data in our bibliography modules, it would be highly desirable to have a canned XML export report that maps to MARC fields.

Thanks for considering our thoughts.

Hello,

I'm sorry I'm very late commenting on this - somehow my "email me" was not ticked (my fault I'm sure).

I would like to see the "Citation string" inside the Biblography module and appearing for each publication type.
Our users may use the same reference many times and this will save them having to retype it each time it's used for a catalogue record. We are also using the same references in the Narratives module so we'd like to record them in a central module - even though we use this module in a very basic way.

I like the separate author contributor tab.

Hope this is not too late for consideration - but I understand if it is

Thank you for posting this topic, Janeen. The default configuration for Catalogue attachment of Bibliography records seems to include the citation and nothing else. A number of clients that I have reviewed include, as you do, a Reference Type, Pages and Notes field. These seemed to be customizations and not defaults. If those fields are not presently standard in EMu for References Tabs/Field Sets, they should be, in my opinion. The additional fields clearly specify an object's relationship to a publication and allow users to view the exact relationships of objects in the collection to a specific text/publication. Furthermore, they will help a great deal with ARGUS conversions, as ARGUS includes the same fields for describing a link to bibliography data.

Hi Janeen,
I would reiterate Will's comments and just checking with you on whether it is still worth sending you some feedback to your Survey attachment?
I think I could make some more comments there - though it could be out of date for you now to consider.
best,
Lee-Anne
